Travel and Accommodation



Practical Information


Students who requested accommodation will be staying at the San Jacinto Residence Hall.

Students will be housed in double-occupancy dormitory rooms on campus. The cost of your lodging will be paid directly to the dorm by the Department of Mathematics.

Please follow these guidelines while staying at San Jacinto Residence Hall

  • Where and when do I check-in/check-out for housing at the San Jacinto dormitory?

Those staying at the San Jacinto Dormitory can check in at the front desk on Sunday, July 17, 2011, in the afternoon. The San Jacinto dormitory is located at the corner of San Jacinto and 21st Street. Mention that you are attending the UT Mathematics Program. They will give you your room key.

Checkout is on Saturday, July 30, 2011, in the evening.

  • Where and when do I register for the RTG Summer Program?

Registration will take place Monday, July 18, 2011: Time and location TBA.

  • Where can I find campus maps?

  • What should I bring from home for my San Jacinto dormitory stay?

 * Comfortable clothing for daytime or evening activities
 * Jacket/Sweatshirt
 * Robe
 * Tennis shoes or "comfort" shoes
 * Shower/Pool Shoes (flip flops, for example)
 * Sunscreen
 * Toiletries (toothbrush, toothpaste, soap, shampoo)
 * Spending cash
 * Swimsuit

  • What is provided in our rooms at the San Jacinto dormitory?

All rooms are double occupancy with a shared bath. They include a "MicroFridge", television, desk, chair and dresser. Sheets, towels, blankets and pillows are provided. If they are not in your room at the time of check-in please talk to the San Jacinto Hall Front Desk. Daily service to your room will be provided. If there are any problems, please talk to the San Jacinto Hall Front Desk.

  • What amenities are provided in the San Jacinto dormitory dormitory?

The ground floor of San Jacinto has a TV, vending machines, and a large laundry room for use by all residents (it is located near the recreational facilities).

  • Are laundry facilities available at the San Jacinto dormitory?

A large laundry room is available for use by all residents.

  • Are linens provided at the San Jacinto dormitory?

Yes, sheets, towels, blankets and pillows are provided by the San Jacinto dormitory.

  • How do I get to the UT Campus?

  • Are there medical services?

University Health Services can provide medical services for non-life threatening illness or injuries. There are charges for services provided.

All participants are required to provide their own health insurance and sign medical authorization and release forms at check-in. Minors, under 21 years of age, should request these forms in advance and submit with signature of parent or guardian.

  • Is there Dining and Shopping Nearby?

RTG Summer Travel Reimbursement



The NSF Research and Training Grant in Applied and Computational Analysis will provide funding for US-citizens and permanent residents attending from out-of-town. Our students from Portugal will be supported through the Research and Collaboration Agreement between the Portuguese Science and Technology Foundation (FCT) and the University of Texas.

In either case, limited funding is available for transportation, housing and meals. Please note that travel and local living expenses will be processed as reimbursements after the summer school is completed. A check in USD will be mailed to your home address in six to eight weeks.

Air travel and airfare

Students should make and pay for their own travel arrangements. Please use only economy-class tickets, but there is no limitation on the air carrier you may use. For reimbursement submit your e-ticket or the original ticket receipt. Participants will be required to submit a receipt for their airfare that shows how the ticket was paid for, which must be in their own name. We are unable to reimburse participants for tickets purchased on their behalf by an institution or family member.

Ground transportation

Costs of ground transportation (taxi, shuttle or bus) can be reimbursed. Maps, travel information and other useful links can be found on the Mathematics Department home page: http://www.ma.utexas.edu

Meals

Students staying in the dormitory will be reimbursed for meals with a per diem allowance of $41.00 per day including travel days. No receipts are necessary. Breakfast will NOT be provided.

Procedures for all Summer School Students



Prior to your departure, you will need to submit the following as one reimbursement request package.

1. The Payee Information Form (PIF) along with a copy of your photo ID.

2. The receipt for your economy airfare. Or, if driving to Austin is more economical than flying, you can be reimbursed for the use of your car at the rate of 51 cents per mile for one round trip. No receipts are necessary for the use of your personal vehicle.

3. The receipts for your ground transportation. If applicable, these expenses will be doubled for your return trip.

4. No receipts are necessary for the meal per diem allowance. Please note that the per diem reimbursement will be processed AFTER the Summer School. Students must be prepared to meet all their expenses during their stay. Visitors normally find banking to be convenient on campus.

An important reminder for non-US citizens

Participants eligible for the Visa Waiver Program may enter the USA under the waiver tourist visa. It is not necessary to obtain a student visa for this non-credit short course. Please visit the following website and be familiar with passport requirements and the new requirement for online registration prior to travel under the Visa Waiver Program.
